03 — Getting there

The route and pickup are set against the complete itinerary, because a short final distance in east London can still become slow when several events release traffic together. A same-day airport arrival should include the flight, terminal, baggage expectation and the fixed event commitment. Flight tracking supports the airport collection when landing time moves, but passengers still need a workable interval for the arrivals process and the road sector to ExCeL.

A multi-day booking can run as a sequence of timed hotel shuttles, each with a fresh plan. We record the property's full address and entrance, the passenger list for each morning, the desired venue arrival and a return window for each evening. A dinner or client reception should be added as its own destination. Teams do not always travel in the same formation on every day. 06 — After the final session

Agree where the chauffeur will wait

The morning set-down is not automatically the best evening collection point. Venue operations, queues and temporary road controls can alter the available stopping places. The booking should carry a named pickup, an approximate ready time, the lead traveller's mobile and a fallback instruction understood before guests enter the halls. If a conference reception runs late, the lead traveller should update the chauffeur before walking outside. For groups, one caller reduces conflicting directions. Anyone connecting to a flight or train should identify that non-negotiable departure at the outset.

An assistant or event lead can provide a manifest covering airport pickups, hotel departures, venue arrivals, evening hospitality and final returns. Each movement needs its own passengers and contact rather than a single guest list copied across the visit. Changes are then applied to the affected car without disturbing the rest of the programme. For an individual journey, share the same essentials: collection address, requested ExCeL arrival, event name, luggage and return destination. Journey cost is confirmed at booking for the itinerary and vehicle agreed.
