A hotel collection can take a guest to an airport, central London, a restaurant, meeting or event venue. We record the property, entrance, passenger contact, luggage and required arrival before setting the pickup. Cliveden House near Taplow, Coworth Park near Ascot and Great Fosters in Egham are examples of hotels in the area, not partner properties. Any Berkshire or Surrey hotel should be identified by its complete address and the reception instructions supplied for that stay.

A concierge, receptionist or guest-relations team can place the request on a guest's behalf. We record the traveller, a suitable mobile, who may change the itinerary and which hotel contact receives updates. For collection, confirm whether the chauffeur should report to reception, a side entrance, a private residence wing or another lawful stopping place. A room number can assist the hotel internally, but the passenger still benefits from an agreed public meeting instruction and departure time.

04 — Hotel account travel

Book, track and settle through the business portal

Saved addresses, cost centres and users with individual permissions can be managed in the business portal. A hotel account can therefore organise approved bookers around its own teams while keeping frequently used properties and business references available for later guest journeys. Live booking status is shown from allocation to completion. Corporate travel can be settled on one monthly invoice, with VAT receipts and account reports, giving an authorised hotel team a clearer record than separate guest-by-guest paperwork.

For a hotel-to-airport departure, the requested terminal arrival, airline guidance and luggage loading shape the collection time. For an inbound guest, flight tracking supports the airport plan when landing changes, and meet and greet with a name board provides a defined arrivals contact. The onward hotel instruction matters just as much as the terminal. We record the reservation name and precise property address, then add any entrance note from reception so the chauffeur is not relying on a brand name or map pin alone.

06 — London and venue travel

A return plan for dinners, meetings and events

A guest may need a direct London transfer, several appointments or an evening journey to a venue. We include fixed admissions, hospitality entrances and host contacts, allowing the car to be scheduled around the real programme rather than a broad destination. The return can use a different collection point when local controls make the arrival kerb unavailable later. We agree who will confirm readiness, whether luggage remains at the hotel and which address closes the journey before the booking is finalised.

First Class can suit an individual guest seeking a refined saloon, while XL may fit a party or a larger luggage load. Business, Business Estate and SUV provide further options, with allocation based on the complete requirement. We note the date, full route, passenger count, every bag, access notes and the people authorised to receive updates. Journey cost is confirmed at booking, and the chauffeur conduct standard includes punctuality, discretion, professional presentation and considerate assistance.
